    Video Submission Guidelines

    You are invited to submit a short video to promote your participation in the Exhibit Hall at the VRMA International Conference to prospective attendees.

    What we are looking for: A short, self-recorded video (no more than 2 minutes) highlighting what your company will display in the exhibit hall at the 2019 International Conference. You may pose a question, provide a teaser, or showcase key areas of your exhibition. For example: “Join <company> at the 2019 VRMA International Conference, where we will showcase our latest products to help your business…”  Of course, be sure to state your company name and booth number!

    How we will use the videos: To promote attendance and engagement at the 2019 VRMA International Conference, your video will be posted to the International Conference website. It may be shared via social media, or by other means of appropriate marketing channels. We reserve the right to review, and then accept or reject, all submitted videos. We also reserve the right to edit your video, as deemed necessary and appropriate.

    Submission process: You do not need to use professional videography equipment (however, if you have access to such equipment, you are welcome to do so). Smartphone and tablet videos are acceptable (captured via iPhone, iPad, Android, or similar). Ensure that you film in landscape (horizontal) mode. Avoid “selfie” videos, if possible; instead, place your phone or tablet on a stable object such as your desk, a heavy book, or a stand. Speak clearly and without background noise and/or music. Utilize a brightly lit room, preferably without a window behind you. Plain background walls work best. If filming outdoors, ensure that your words are captured clearly. Don’t film outdoors if windy. 

    Deadline: Submit your video on or before Friday, August 30.

    How to submit: Send via Dropbox or WeTransfer to Jessica Byrnes at jbyrnes@vrma.org. Do not attach directly to an email, as video files are too large to send directly. Please include your company name on the video file name (ex: VRMAInternationalConferenceVideo.mov, VRMAVideo.wmv, etc.).

    • Posts on social networks should generally be kept to fewer than 140 characters, including hyperlinks, hashtags, and images.
    • Add the conference hashtag, #VRMAInternational, to your posts to generate more views.
    • Consider posting on social networks at high-trafficked times during the week to maximize your exposure. The optimal time to post is between 1 PM and 3 PM, Monday through Thursday.
